How Hotels and Spas Source Amenities: A Practical Guide
Buying criteria, volumes and practical constraints for hotels, riads and spas sourcing guest amenities.

Sourcing amenities for a hotel, riad, or spa is a different exercise from sourcing for a retail cosmetics brand — the buying criteria, the volumes, and the practical constraints are all different. Here’s a practical guide for hospitality buyers approaching this for the first time, or looking to switch suppliers.
Coordinated ranges matter more than individual products
A retail buyer might pick one standout product. A hospitality buyer usually needs a coordinated set — typically shampoo, conditioner, shower gel, body lotion, and a soap bar at minimum — that shares a consistent scent profile, packaging language, and quality tier across every guest touchpoint. Sourcing these as a designed set from one supplier is usually more practical than assembling one from several different product lines.
Format and size constraints are specific to hospitality
Guest amenities are typically supplied in small formats (commonly around 20ml for single-use bottles), which changes filling, capping, and labeling requirements compared to standard retail bottle sizes. Confirm early that a potential supplier actually produces at your required format — some manufacturers set up for retail-size runs are not equipped for small-format hospitality filling, or price it very differently.
Branding and logo application
Most hospitality buyers want their own property name and logo on the packaging rather than the manufacturer’s own brand — effectively a private-label relationship. Ask specifically what logo and packaging customization is available at your expected order volume, since minimum quantities for custom branding are often higher than for unbranded stock amenities.
Consistency across reorders
Unlike a one-off retail order, hospitality amenities are typically a recurring purchase tied to occupancy — consistency of scent, texture, and packaging between reorders matters more here than in almost any other cosmetics buying scenario, since guests who return will notice a change. Ask a potential supplier how they manage batch-to-batch consistency and what happens if a specific ingredient becomes temporarily unavailable.
Questions to ask before switching suppliers
Typical lead times for your required volume and format, minimum order quantities specifically for custom-branded small formats, and what documentation (ingredient lists, safety data) they can provide for your specific market’s requirements.
